Name, schedule and time zone

Name, schedule and time zone

The Settings tab holds when your calendar runs: its name, the first door, the number of doors, the time zone, and the days it's shown in the app. The same fields appear in step 2 of the setup guide. The tab also holds the calendar's languages, Who can edit and, for a draft, the ready-made calendar. Points have their own tab, see Points.

The General section on the Settings tab

Click Save changes at the bottom of the page after changing something here. If you leave the page with unsaved changes, the admin asks first.

Name

The name is only shown in the admin, for example in the list of calendars and in the export's file name. Your colleagues see the welcome title instead. It can be up to 120 characters long.

Start date and number of doors

The first door opens on the start date. After that, one door opens every day: door 2 on the next day, door 3 on the day after, and so on.

  • A calendar has between 1 and 31 doors. The default is 24, from 1 to 24 December.
  • The start date must be today or later when you publish.
  • Every door must open before the season ends, when all data is deleted. The admin tells you if the schedule runs too late.
  • If you change the start date or the number of doors, the dates when the calendar is shown move along where they need to.

For many organisations, Flip fixes the start date to 1 December and the number of doors to 24. The fields are then greyed out. See Settings set by Flip.

Both can only change before the first door opens.

Time zone

Every door opens at midnight in the calendar's time zone, for everyone at the same moment, wherever they are. The calendar never uses the time on someone's phone. If your colleagues work in several time zones, pick the one most of them are in.

New calendars start in your organisation's default time zone (usually Europe/Berlin).

  • While the calendar is a draft, you can change the time zone freely.
  • Once it's published, you can still change it until the first door opens. The hint Changing it moves the moment every door opens. reminds you of that.
  • From the first door on, it's fixed.

When people see the calendar

Two dates decide when your colleagues find the calendar in the app:

  • Shown in the app from: from this day, people see the calendar with every door still locked, and a countdown to the first door. It's a good moment for your announcement. The default is one week before the first door. It must be on or before the first door, and it can only change before the first door opens.
  • Shown in the app until: the last day people see the calendar. The day after, the calendar is archived: your colleagues no longer see it, and only the export is left for you. The default is two weeks after the last day doors can be opened. It must be on or after the last door's day and before the season ends. Ending it before the last day doors can be opened takes those catch-up days away.

The last day doors can be opened is two days after the last door. With 24 doors from 1 December, that's 26 December, so people can still catch up over the holidays.

You can move Shown in the app until even after the calendar has ended, for example to keep it up a little longer. To hide it earlier, use Archive instead. See Publishing.

Opening doors after their day

Open doors after their day decides what happens when someone misses a day:

  • On (default): people can open any door whose day has come, until the last day doors can be opened. Opening a door later earns the points you set for Opening a door later (none by default) and doesn't count towards a streak.
  • Off: each door opens on its day only. A door someone missed stays shut to them. A door they opened stays readable.

You can change this at any time, even while the calendar is live.

Who can edit

Flip admins edit every calendar. In Who can edit, a Flip admin can let the owners of a user group edit this calendar too: the owners of each user group added here, and the owners of any group above it in Flip. The section is only shown when Flip lets user group owners edit calendars for your organisation (see How far user group owners go).

The "Who can edit" section with an assigned user group and its path

  • Add a user group opens a list of your organisation's user groups, from A to Z. Type in Search user groups to narrow it down, tick one or more groups and click Add. Each group shows its path in Flip, for example "Germany › Stuttgart", so you can tell groups with the same name apart. Groups already assigned are ticked and marked Already added.
  • The section lists the assigned groups, each with its path. The bin icon next to a group removes it.
  • Outdated: the group was archived or deleted in Flip. Remove it (a user group owner can't: a Flip admin does).
  • Not loaded: Flip didn't answer for this group just now. Try again in a minute.
  • If Flip can't be reached, the groups show without their names and Add a user group is missing until it answers again. Click Try again in a minute.

The list of user groups, opened with "Add a user group"

Like everything on the page, added and removed groups apply once you click Save changes; Cancel discards them. When Flip changes who owns a group, that applies within about five minutes. With no group assigned, which is the default, only Flip admins edit the calendar.

The owners of an assigned group edit the calendar like a Flip admin: its content, appearance and settings; they publish, unpublish and archive it, and see its analytics and download its exports, the raffle entrants included. They can't create or delete calendars or assign user groups, unless Flip lets them for your organisation.

Only Flip admins see this section, and with Also create below the calendar's user group owners too: when your organisation has user groups of its own in Flip, when a group is assigned, or when Flip can't be asked right now.

How far user group owners go

Flip sets this for your organisation, in three steps:

  • Admins only (the default): only Flip admins edit calendars, and Who can edit is hidden. Groups assigned earlier stay assigned, but their owners edit nothing.
  • Edit and publish: as described above.
  • Also create: the owners of any user group also create calendars, each for one of their groups (For your user group), delete their drafts and add or remove their own groups under Who can edit. A group they don't own is tagged Assigned by an admin and stays. They can't remove the last of their own groups from a calendar: You'd lose access to this calendar.

Ready-made calendar

While the calendar is a draft, Reset to the ready-made calendar starts it over from the ready-made calendar, the same content the setup guide's first step offers (see Ready-made or empty). It's written in German and English, and you get it in those of the calendar's languages.

The Ready-made calendar section on the Settings tab

The admin asks first (Replace the content?): the welcome text, the cover, the design, the points and every door are replaced, and what you wrote or uploaded there is lost. Every door is marked as not done again. The name, the dates and the languages stay. Save or discard other changes on the page first.

Once the calendar is published, this section is gone.

Settings set by Flip

Flip can fix some settings for your organisation, for example because of a contract or a works agreement. Fixed settings are greyed out, or hidden.

Setting When Flip fixes it
Start date Always 1 December. Fixed for most organisations.
Number of doors Always 24. Fixed for most organisations.
Leaderboard Off, and the switch is hidden.
Open doors after their day Always on.
Let participants decline points Off, and the switch is hidden.
Several calendars at the same time Off: only one calendar can be published at a time. See Several calendars at once.

If you need one of these changed, ask your Flip contact. When Flip changes a fixed setting, draft and upcoming calendars follow; live calendars keep theirs.
