Mini Apps: Introduction & Setup

Mini Apps are powerful self-service tools integrated directly into Flip. They are designed to give frontline employees instant, 24/7 access to the essential HR and operational systems they need to manage their work lives.

Mini Apps plug your company's existing systems (like SAP, Workday, UKG, etc.) directly into Flip. This eliminates clunky web views and provides a seamless, native-app experience, bridging the digital access gap for your frontline workforce.

 

Employee Self-Service Use Cases

Mini Apps streamline key employee self-service functions, replacing manual processes, paper forms, and bottlenecks.

  • Absence Management: Employees no longer need to fill out paper forms or wait for manager approvals. The Mini App, which syncs directly with your HRIS, allows them to:
    • Instantly check leave balances.
    • Submit absence and time-off requests in seconds.
    • Track the approval status of their requests in real-time.
  • Shift Planning: This Mini App eliminates confusion over schedules by syncing directly with your backend planning tools. It empowers employees to:
    • View live, up-to-date shift schedules from their phones anytime, anywhere.
    • Receive instant notifications when their shift changes.
  • Payslips: This eliminates the administrative burden of printing and mailing paper payslips. The secure Mini App gives employees:
    • Immediate, on-demand access to their payslips.
    • The ability to view and download both current and historical payslips.
    • A fully compliant and paperless payroll process.

 

How to Get Mini Apps Enabled

Setting up a Mini App involves four main steps, from initial consultation to making it available for your users.

 

1. Book a Consultation

The first step is to book a personalized demo or call with your Customer Success Manager (CSM). In this call, we will discuss your specific use cases, review your current system setup, and prepare a high-level implementation plan.

 

2. Check System Compatibility

Flip offers out-of-the-box connections for many popular systems:

  • Workday
  • SAP SuccessFactors
  • UKG Pro Workforce Management
  • HiBob

What if my system isn't listed? If your system is not on this list, please reach out to the Flip team to discuss creating a new connection. To do this, we generally need the following:

  • API documentation for your system
  • Production or sandbox environment access
  • A system specialist from your organization available to discuss your internal HR, IT, and operational processes.

 

3. Mini App Activation

This stage involves the technical steps to connect your system to Flip.

A. Share Authentication Credentials All Mini App integrations require credentials for authentication. Your CSM will specify the exact type of credentials needed based on your HR system and use case.

B. User Mapping Users must be mapped between Flip and your system. This ensures the correct Flip user sees the correct data from your system. This is done by matching one of the following attributes in Flip to one in your system:

  • Employee Number (preferred option)
  • Email Address

The key requirement is that the Flip attribute (e.g., employee_number) can be mapped to the corresponding attribute in your source system.

C. Optional: User Group Mapping This step is necessary if you use multiple systems (e.g., Workday for the US and SAP for Germany) or different tenants of the same system. Users must be assigned to different user groups based on which system or tenant they need to access.

  • Example: If you use SAP SuccessFactors in the EU and Workday in the US, you would create two user groups. Users in the EU group would be mapped to SAP, and users in the US group would be mapped to Workday.

 

4. Enable the Mini App for Your Users

Once activation is complete, your CSM will provide a unique URL for the Mini App. You will then add this URL to a Custom Menu Tile in the Flip app to make it visible to employees.

Using Custom Menu Tiles allows you to:

  • Customize the tile's icon and title.
  • Translate the title for different languages.
  • Assign user group visibility: This is perfect for testing. You can make the Mini App visible only to a specific test group before launching it to everyone.
