How can I use chats & chat groups effectively?

The chat feature combines the best of both worlds: the functionality and convenience of a private messenger with enterprise-level data protection and IT security.

The chat is perfect for direct communication between individuals or small groups within the app, leading to a high usage rate and consequently high acceptance of the employee app. Smaller teams, departments, and divisions can organize themselves optimally in group chats, much like in other messenger apps, and exchange up-to-date information. Below are some interesting use cases for this feature.

Information Sharing in Small Teams and Departments

Group chats enhance productivity and collaboration through fast communication. Leaders can efficiently share information and make quicker decisions, improving teamwork. Encourage leaders to use chat groups for information exchange.

Example: A production shift can create a chat group to share machine statuses, shift schedules, and production targets. This saves time and keeps everyone up to date.

Communication Channel for Time-Limited Projects

Group chats are excellent for managing time-limited projects. Project teams can exchange critical information, delegate tasks, and monitor progress in specific chat groups. This allows for quick responses to changes and increases efficiency.

Example: Organizing the summer festival can be efficiently coordinated through a chat group. Tasks can be distributed, ideas gathered, and preparation statuses shared, making planning easier.

Communication Channel Between Employees and Supervisors

Private chats between employees and supervisors improve transparency and trust. Direct communication reduces misunderstandings and increases employee satisfaction. Encourage supervisors to actively use these chats.

Example: A production manager can set up individual chats to discuss personal concerns, provide feedback, and communicate short-term changes.

Create Topic-Specific Communication Channels with Deep Links

Deep links offer an efficient way to set up topic-specific chat channels and allow employees to access them quickly. By integrating these links into the menu structure, targeted contacts within the company can be reached quickly.

Example: Employees can communicate directly with IT support, trusted contacts, or the employee app project team via deep links to quickly and easily address suggestions and questions.

Monitor Usage and Intervene Strategically

As a system administrator, you can monitor chat usage rates through analytics in the admin console and take targeted action. A detailed description can be found here: Analytics Dashboard Definition

Since a high chat usage rate usually leads to high acceptance of your employee app, it is recommended to inform all supervisors about the chat's usage options before the rollout and actively involve them. It is also important to proactively inform all employees that supervisors cannot access private chat messages. This is briefly described in this article: Can My Supervisor Read My Private Messages?
