Activate a team member with a QR code

Requires you to be an owner of at least one user group.

If you manage a team, you can get people into the app yourself, in person, without raising a ticket with IT. You generate a short-lived QR code on your phone, show it to your team member, and they scan it to activate their account and set up their own sign-in.

Because you hand the code over face to face, you are also confirming that the account goes to the right person. That is the point of doing it in person rather than sending a code.

You can do this for the user groups you own. Ownership is what grants the access, there is no separate permission to switch on. If Activation is missing from your menu, or if a colleague should be able to do this and cannot, an admin has to add them as an owner of the relevant user group. See who still needs to activate

  1. Open Activation in the app menu. Your organization may have renamed this menu item, so it might appear under a different name.
  2. The circle at the top shows your activation rate: the share of your people who have signed in at least once.
  3. Use the filters to narrow the list: All, Logged in, or Never logged in. Each one shows a count.
  4. Use Search users to find one person by name.

The list shows everyone in the user groups you own, with their name, their user name, and whether they have ever signed in.

Generate a code for one person

  1. Tap the person in the list. Their User details open.
  2. Check First login. If it says Never logged in, they have not activated yet.
  3. In the Invite code card, tap Generate new.
  4. Code details opens and shows what the code contains: your organization's address, the person's user name, and that the code expires after 15 minutes.
  5. Tap Generate.

The code appears with the exact time it expires and a countdown. It stays valid for 15 minutes, and that cannot be changed. It is short on purpose: the code is meant to be used while you are standing next to the person.

Once you close the code you cannot look at it again. If you need it a second time, tap Generate new. That gives you a fresh code and revokes the previous one, so only the newest code works.

Hand it over

Show your screen so your team member can scan the QR code. They need the Flip app installed first, and they scan the code inside the app, not with their phone's camera.

If scanning is not practical, you have two other options:

  • Read out or send the code shown under the QR code. Tap the copy button next to it to copy it.
  • Tap Copy QR code to copy the QR image and paste it into a message.

After scanning or entering the code, your team member goes straight to setting up their password or passkey. They do this themselves, so you never see or set their credentials.

If something does not work

  • The code expired. Fifteen minutes passed, or the person could not scan in time. Tap Generate new and start again. You can generate as many codes as you need.
  • You closed the code before it was scanned. Tap Generate new. The old code stops working at that point.
  • The card says "No code" and mentions a removed code. An earlier code expired and was removed for security. Generate a new one.
  • Your team member says the code is already in use. Another attempt with the same code is still open. Generate a new code and let them scan that one.
  • You cannot find the person in your list. You only see people in the user groups you own. If they should be there, ask your IT contact to check which group they belong to, or whether you are an owner of that group.

What gets recorded

Every code you generate is recorded with your name and the time, and so is the moment your team member redeems it. This is normal and it protects both of you: it shows who handed over which account, and when.
