The Confluence Syncer copies pages from your Confluence spaces into the Flip Knowledge Base. Your frontline employees can then read that content in the Flip app, and Ask AI can use it to answer their questions. Employees don't need a Confluence account or licence.
Before you start
You need:
- The Confluence Syncer activated for your Flip tenant. To request it, open Marketplace > Integrations > Confluence Syncer in the Admin Console, or ask your Customer Success Manager.
- Admin access to the Flip Admin Console.
- A Confluence Cloud account that can read every space you want to sync. We recommend a dedicated service account so syncing doesn't depend on one employee's account.
- An Atlassian API token for that account. You can create one at id.atlassian.com/manage-profile/security/api-tokens.
- A Knowledge Base main page in Flip for each Confluence space. If you don't have one yet, you can create it in Step 2. Synced pages appear under that page.
Step 1: Connect Confluence
- In the Admin Console, go to App settings > Knowledge base. You only see this menu item once your Customer Success Manager has enabled the Confluence Syncer.
- On the Source and Authentication tab, click Add source.
- Fill in the Title and Description (optional, to help you recognise the source later), the Confluence Base URL (for example https://yourcompany.atlassian.net), the email address of the Confluence account, and the API Token.
- Click Test connection. Flip checks the details against Confluence without saving anything.
- When the test succeeds, save the source with the Add source button.
Flip encrypts the API token. After you save, the token is always shown masked.
Step 2: Choose spaces and where they go
- Open the Pages synced tab and click Add pages.
- Choose the Confluence source the spaces come from, then click Next.
- Select one or more Confluence spaces. The list shows each space's labels, number of pages and last modified date. Labels let you filter the list.
- Assign each space to a Knowledge Base main page. Pick an existing main page or create a new one. Each space goes to exactly one main page, and each main page can receive only one space.
- A space without a main page shows Missing main page. You can't start the sync until every selected space has one.
Step 3: Review and start the sync
Check the summary and click Start syncing. The sync runs in the background. You can leave the page and watch progress (for example "13/231 pages synced") on the Pages synced tab, along with the result for each page.
If a page fails, Flip also skips the pages below it, but the rest of the sync continues. The Pages synced tab shows which pages were skipped.
Keep content up to date
To update Flip after changing something in Confluence, open the Pages synced tab and click Force sync. Flip updates the pages it synced before and adds new ones. If you move a page in Confluence, Flip moves it too.
Syncing is manual for now. Automatic scheduled syncing is planned.
What gets synced
| Synced | Not synced |
|---|---|
| Published pages and live docs | Draft pages |
| Text and formatting (bold, italic, lists) | Tables |
| Headings | Attachments macro (the file list element on a page). Support is in progress. |
| Inline images | Comments, likes and page history |
| Links, and files linked from a page (stored in Confluence or public). Flip uploads a copy of each file. | Macros and other unsupported elements |
| Videos (optimised for mobile) | |
| Page cover images, shown as the Flip page banner | |
| Page hierarchy, up to five levels deep |
Flip skips unsupported elements without warning, and the rest of the page still syncs. Check your most important pages in Flip after the first sync. If a page relies on a table, consider rewriting that part as a list.
Permissions and security
- Flip doesn't copy Confluence permissions. Synced pages get the permissions of the Knowledge Base main page you assigned them to. Before you sync, check who can see that main page, and only sync spaces whose content all of those people may see.
- All synced pages are published in Flip right away.
- The syncer only reads from Confluence. It never changes or deletes anything there.
- The syncer can only see spaces the connected Confluence account can see. Use a service account to limit which spaces Flip can reach.
Limitations
- Changes made in Flip are not synced back to Confluence.
- If you delete a page in Confluence, the copy in Flip stays. Delete it in Flip yourself or contact Support.
- You can connect several Confluence sources. If you remove a source, Flip archives all pages synced from it.
- Only Confluence Cloud is supported.
- Links to other Confluence pages point to Confluence, so employees without Confluence access can't open them.
- If Flip can't upload a linked file, it skips that file. There is no placeholder.
FAQ
Do employees need a Confluence licence to see synced content?
No. They read it in Flip like any other Knowledge Base page.
Can Ask AI answer questions from synced pages?
Yes. Synced pages are regular Knowledge Base pages, so Ask AI can use them if it's enabled for your tenant.
Can I edit synced pages in Flip?
You can, but the next sync overwrites your changes. Make edits in Confluence and sync again.
Why is part of my page missing in Flip?
It probably contains an element Flip doesn't support yet, such as a table or macro. See "What gets synced" above.
A sync failed. What should I do?
Check that the connection still works under Source and Authentication (an expired API token is the most common cause), then run Force sync. If pages still fail, contact Support and tell us which space and pages are affected.
Does Flip also sync content from SharePoint?
Yes, with the SharePoint Syncer. It copies SharePoint news posts and site pages into Flip channels and the Knowledge Base. It works differently from the Confluence Syncer: Flip sets it up together with your IT team, and there are no settings for it in the Admin Console. Ask your Customer Success Manager.
