Requires invite codes to be enabled for your organization.
An invite code lets an employee activate their Flip account without a temporary password and without a corporate email address. You generate the code, hand it over, and the employee redeems it in the app. They land straight on setting up their own password or passkey.
The code also identifies your organization, so the employee does not have to enter an organization URL or keyword first. Scanning or typing the code is the whole first step.
Each code belongs to one person, works once, and expires.
Before you begin
- Decide how you will hand the code over: printed, in person, or through a channel the employee can already reach.
- Decide how long the code should stay valid. A code handed over face to face can be short-lived; one sent by post needs longer.
- Have the employee's account created in Flip already. The code activates an existing account, it does not create one.
Generate a code
- Go to Users in the Admin Console and open the person's profile.
- Open the Authentication tab.
- In the Invite code card, select Generate.
- Check the Organization URL and Username shown in the dialog. These are what the code bundles.
- Choose an Invite code expiration: 24 Hours, 2 Days, 7 Days, or Custom. For Custom, set Expires in and pick an Expiration unit of Minutes, Hours, or Days. The allowed range is 5 minutes to 90 days. Your choice also determines how long the code itself is, for the reason under Choosing the validity period.
- Select Generate.
You will know it worked when the Invite code dialog shows a QR code, the code in text form, and the exact date and time it expires.
The code is shown only once. After you close the dialog you cannot read it again. Save or hand it over before closing. If you lose it, generate a new one.
Choosing the validity period
Set the shortest window that still fits your handover. A code that lives for weeks is a code that can be found on a desk weeks later.
The length of the code varies with the validity you choose: a longer window produces a longer code. This is deliberate, and it is a security measure. A code that can be tried for 90 days has far more time to be guessed than one that lives for 15 minutes, so the longer-lived code is made correspondingly harder to guess. You therefore do not weaken security by extending the handover window. The trade-off is that a long-lived code is more to type.
Hand the code over
The Invite code dialog offers three ways to pass it on.
| Option | Use it for |
|---|---|
| Download PDF | A ready-to-print handout for this one employee. It carries their name, a QR code for installing the app, a QR code for activating, and the code in text form as a fallback. Its look and wording follow the branding configured for your organization, or the branding of the employee's user group where that is set. |
| Copy QR Code | The QR image on its own, to paste into a document or message. |
| The copy button next to the code | The code as text, for a channel where an image does not work. |
What the employee does
The employee installs the Flip app, then either scans the QR code inside the app or types the code in. The activation QR code is scanned in the app, not with the phone's camera app.
After redeeming, they are taken directly to setting up a password or a passkey. The code is used up at that point and cannot be redeemed again.
Track the code
The Invite code card shows the current state at a glance.
| Status | What it means |
|---|---|
| No code | No code exists for this person. |
| Not redeemed | Generated and still unused, with when it was generated and how long it remains valid. |
| Redeemed | Used, with the date and time and the device and operating system it was redeemed on. |
| Expired | The validity ran out without the code being used. |
Select Invite code history on the card to open Generated code history, a table of Action, Date, and Triggered by. Actions are Code generated, Code redeemed, and Code revoked. Generated and revoked name the admin who did it; redeemed names the employee.
Replace or delete a code
- Replace: select Generate new. This invalidates the existing code, so if you already shared it, it stops working for signing in. The confirmation lets you choose Keep previous code instead.
- Delete: select the delete icon on the card and confirm. The employee can no longer use the code.
Troubleshooting
- The employee sees "Code already in use". Another activation attempt with this code is still open. This can happen on the same device when re-scanning the QR code opens a new browser window, or when cookies were cleared or private browsing is used. The employee can finish the attempt they started, or wait for it to time out. To unblock them immediately, generate a new code.
- The code expired before the employee used it. Generate a new one and choose a longer validity that matches how the code reaches them.
- The employee cannot find where to enter the code. It is entered or scanned in the Flip app, after installing it. Scanning the activation QR code with the phone's camera app does not work.
- You closed the dialog without saving the code. It cannot be shown again. Generate a new one.
