User Account Lifecycle

This article explains what happens when a user account in Flip is locked, deactivated, or deleted — and how each state affects what the user can see or do.

User States Overview

State What it means Can the user log in? Can it be reversed?
Active User can log in and use Flip normally. Yes -
Locked Temporarily blocked from logging in (e.g., investigation). No Yes
Deactivated Removed from the app but data kept (e.g., seasonal worker). No Yes
Pending deletion Soft-deleted for 14 days before permanent deletion. No Yes, within 14 days
Complete deletion Fully deleted from the system — cannot be restored. No No

User Lifecycle

The diagram below shows how users move between states in Flip:

  • Lock a user – temporarily restrict access.
  • Deactivate a user – remove from the app but keep data.
  • Delete a user – schedule deletion after 14 days.
  • Recover a user – restore within 14 days if needed.

After 14 days, users are automatically fully deleted to meet GDPR requirements.

How it looks in Flip

The Admin Console and the App show user states differently:

  • Locked or Deactivated users appear as “Deleted” in the app.
  • Pending deletion users are also shown as “Deleted” until recovery or full deletion.
  • Fully deleted users disappear completely from both views.

Tip

  • Use Lock for short-term restrictions.
  • Use Deactivate for long-term offboarding while keeping data.
  • Use Delete only when the account should be permanently removed.
